Guidelines for Presenters


You will be presenting at the upcoming ISMRM workshop in Washington, DC, USA. The workshop will take place in Congressional A + B.

Slides must be formatted for 16:9 landscape [rectangle]. (In PowerPoint – Click the Design tab, then Page Setup)

Please remember: Because this workshop will offer CME credits, logos of any commercial company cannot be displayed on the slides (even on your title page, or as part of a slide template).

Audio-visual staff will be located in the rear of the room. Since there is only one PC and one Mac, it is not possible to load your presentation once the session has begun.

  • There will be no connection to use your own laptop at the lectern.
  • We will be using Office 2013 (PC) at this workshop. For this reason we strongly encourage everyone to load their PowerPoint file as early as possible.
    • The pre-loaded version does not need to be your final version. You can simply test the fonts, animations, and videos and then bring your final version in during your scheduled time.
    • This allows the videos to be tested on the system that will be used during the session.
  • Mac users, we will be using the latest version of Keynote and the latest version of the Mavericks operating system.


Over the last several years, the amount of video CODECs has increased making compatibility with some formats an issue when moving to different computers. Beginning with this workshop, we are asking the only MP4 and WMV videos be used for PC based PowerPoint presentations. We ask that only MP4 and MOV files be used with Mac based PowerPoint presentations. AVI, MPG, and animated GIFs are strongly discouraged and eventually will not be accepted. Please note, just changing the file extension does not convert the file.

PC PowerPoint users, Office 2007 and all subsequent versions allow the embedding of True Type fonts. When saving your version that will be used for presentation, please choose SAVE AS then select TOOLS then SAVE OPTIONS then EMBED FONTS IN FILE and select EMBED ALL CHARACTERS.

The presentations are captured and to prevent an accidental ending of recording, we ask that you LOOP your presentation. This option can be found under the SLIDE SHOW -> SETUP SLIDE SHOW menu in PowerPoint.

Web address and e-mail addresses may contain HYPERLINKS. If you have either one, please highlight the text and REMOVE HYPERLINK. An accidental click on this could interrupt your presentation.

The audio-visual staff will be available beginning Thursday, September 4th during registration hours. The audio-visual staff will be available at the end of the day up to 15 minutes. Service is on a first come-first serve basis.

 
Speakers must bring their presentation directly to the meeting room on any of the following mediums:
  • USB Storage Device (recommended)
  • A Laptop (additional time will be required for data transfer)
ISMRM will provide a Microsoft Windows based PC with Windows 7 and PowerPoint (Microsoft Office 2010 version). An Apple Macintosh will be provided with OS X (Mountain Lion 10.8), PowerPoint (Microsoft Office 2011 version), and Keynote (Apple iLife ’09 version). Adobe Acrobat Reader is installed on both systems. Speakers will not be permitted to install any additional software on the provided systems. There is no Internet access.

Speakers must use the provided computers. There is no connection for a laptop at the lectern. There is no speaker ready room. Speakers will load directly on the show computer. This will need to be done prior to the session. Once the session begins, it is not possible to load. Audio-visual (A/V) staff will be available during registration hours. It is highly recommended to load as early as possible. Draft versions can be loaded and later updated. By loading a draft version, any potential issues can be discovered and there will be time to correct them.

It is the responsibility of the speakers to ensure that all fonts appear as expected and all sound / video clips are functioning properly. There will be a very limited time for editing.

During the session, the A/V staff will start each presentation. Once the presentation is launched, the speaker will control the presentation from the lectern using a standard computer mouse. The left button will advance to the next slide and start movies. The right button will reverse to the previous slide. (Mac PowerPoint users will bring up a menu when the right mouse button is pressed.) The mouse will also function as the pointer. No laser pointers are provided. The sessions are digitally captured and a laser pointer cannot be recorded. There will not be a keyboard. If a speaker does not want the mouse pointer to disappear during their presentation, please consult the A/V staff when loading.

The recommended PC video format is Windows Media Video (.WMV). Most MPEG4 (.MP4) files function properly and it is the second choice.

The recommended Mac video format is either MPEG4 (.MP4) or a QuickTime movie (.MOV). QuickTime movies will need to use the H.264 CODEC for video and AAC for audio (if any).

If a speaker is including a video file, it is imperative that it is tested as early as possible. If a video does not play on the provided computers, it may take hours to fix, if it can be fixed at all. Simply changing the three letter extension (.AVI, .MOV, .MP4, etc.) on the video file does not change the format. Both free and commercial software is available for that purpose.

ISMRM is in the process of transitioning to a high-definition widescreen presentation format. This is also called 16x9 and HD. The screen is shaped like a rectangle and not a square. This will be used in venues that can support the widescreen format. Unfortunately, not all venues can at this time. Every effort will be made to inform speakers prior to the workshop which format will be used. Speakers wishing to take advantage of the widescreen format will need to change their PAGE SETUP setting before creating their presentation. The default setting is ON-SCREEN SHOW (4:3). A widescreen presentation would have to be changed to ON-SCREEN SHOW (16:9). Changing the setting after the presentation has been created can cause format issues on slides. Speakers who bring 4:3 formatted presentations to a workshop using 16:9 will still work. The projected image will look correct, but there will be black bars on both sides of their image (filling in the blank space).
