Guidelines for Presenters


 
Speakers must bring their presentation directly to the meeting room on any of the following mediums:
  • CD-ROM / DVD-ROM
  • USB Storage Device (recommended)
  • Compact Flash Card / SD card / multi-media card
  • A Laptop (additional time will be required for data transfer)
ISMRM will provide a Microsoft Windows based PC with Windows 7 and PowerPoint (Microsoft Office 2010 version). An Apple Macintosh will be provided with OS X (Mountain Lion 10.8), PowerPoint (Microsoft Office 2011 version), and Keynote (Apple iLife ’09 version). Adobe Acrobat Reader is installed on both systems. Speakers will not be permitted to install any additional software on the provided systems. There is no Internet access.

Speakers must use the provided computers. There is no connection for a laptop at the lectern. The audio-visual staff will be located inside the ballroom. Once the session begins, it is not possible to load presentations.  If your presentation includes video files, it is advisable to load as early as possible.

The audio-visual staff will be available beginning Saturday, September 7th during registration hours. The audio-visual staff will be available at the end of the day up to 15 minutes. Service is on a first come-first serve basis.  It is highly recommended to load as early as possible. Draft versions can be loaded and later updated. By loading a draft version, any potential issues can be discovered and there will be time to correct them.

It is the responsibility of the speakers to ensure that all fonts appear as expected and all sound / video clips are functioning properly. There will be a very limited time for editing.

During the session, the A/V staff will start each presentation. Once the presentation is launched, the speaker will control the presentation from the lectern using a standard computer mouse. The left button will advance to the next slide and start movies. The right button will reverse to the previous slide. (Mac PowerPoint users will bring up a menu when the right mouse button is pressed.) The mouse will also function as the pointer. No laser pointers are provided. The sessions are digitally captured and a laser pointer cannot be recorded. There will not be a keyboard. If a speaker does not want the mouse pointer to disappear during their presentation, please consult the A/V staff when loading.

WMV (Windows Media Video) files are highly recommended for use with PowerPoint. Most MPEG4 (.MP4) files function properly and it is the second choice.

The recommended Mac video format is either MPEG4 (.MP4) or a QuickTime movie (.MOV). QuickTime movies will need to use the H.264 CODEC for video and AAC for audio (if any).

If a speaker is including a video file, it is imperative that it is tested as early as possible. If a video does not play on the provided computers, it may take hours to fix, if it can be fixed at all. Simply changing the three letter extension (.AVI, .MOV, .MP4, etc.) on the video file does not change the format. Both free and commercial software is available for that purpose.

This workshop will use a 4:3 format screen [square].

ISMRM is in the process of transitioning to a high-definition widescreen presentation format. This is also called 16x9 and HD. The screen is shaped like a rectangle and not a square. This will be used in venues that can support the widescreen format. Unfortunately, not all venues can at this time. Every effort will be made to inform speakers prior to the workshop which format will be used. Speakers wishing to take advantage of the widescreen format will need to change their PAGE SETUP setting before creating their presentation. The default setting is ON-SCREEN SHOW (4:3). A widescreen presentation would have to be changed to ON-SCREEN SHOW (16:9). Changing the setting after the presentation has been created can cause format issues on slides. Speakers who bring 4:3 formatted presentations to a workshop using 16:9 will still work. The projected image will look correct, but there will be black bars on both sides of their image (filling in the blank space).
