
Exhibitor Code of Conduct
All ISMRM & ISMRT exhibiting companies and their representatives are expected to conduct themselves in a professional, ethical, and respectful manner throughout the duration of the event. By participating as an ISMRM & ISMRT exhibitor, you agree to adhere to the following Code of Conduct:
- Professional Behavior
- Exhibitors must treat all attendees, staff, contractors, and fellow exhibitors with courtesy and respect at all times.
- Harassment, discrimination, or inappropriate behavior of any kind will not be tolerated.
- Aggressive selling, disruptive conduct, or any form of intimidation is strictly prohibited.
- Booth Conduct and Etiquette
- All booth staff must remain within the contracted booth space. Soliciting in aisles or other areas outside of your assigned space is not allowed.
- Music, presentations, or audio-visual displays must not interfere with neighboring booths.
- Booths must be staffed during all official show hours.
- Photography and Video/Audio Recording
- Exhibitors may photograph, videotape and/or audio recording within their assigned booth area only. Recording other exhibitors’ displays, organizational materials, or Exhibit Hall visitors is not allowed. All recording equipment must stay within the exhibitor’s booth space and cannot obstruct foot traffic. Taking unauthorized photos or videos of any exhibit or product is forbidden and may lead to removal from the show. Exhibitors must supervise their booth areas and report any unauthorized photography and video/audio recording to ISMRM show management right away.
- Booth Access
- No one may enter an exhibitor’s booth space without explicit permission from that exhibiting company. Please respect each company’s space and privacy.
- Safety and Compliance
- Exhibitors must comply with all venue rules, fire codes, local laws, and event regulations.
- All materials used in the booth must be flame-retardant, and walkways must remain clear of obstruction.
- Product and Brand Representation
- All products, services, and promotional materials displayed or distributed must be suitable for a professional audience and in line with the theme and focus of the event.
- False or misleading claims, counterfeit products, or infringement of intellectual property rights are grounds for immediate removal from the show.
- Environmental Responsibility
- Exhibitors are encouraged to minimize waste and use sustainable materials when possible.
- Proper disposal of trash, packing materials, and promotional items is required.
- Enforcement
Violation of this Code of Conduct may result in warnings, removal from the show floor, loss of future exhibiting privileges, or other actions as deemed necessary by show management.
